Job Purpose

The Procurement & Warehouse Specialist is responsible for planning, sourcing, purchasing, receiving, storing, and controlling materials, spare parts, packaging materials, and consumables required for coffee farm operations, washing station, roasting plant, and head office. The role ensures cost efficiency, quality compliance, stock accuracy, and uninterrupted supply chain operations.

Key Duties and Responsibilities

Procurement Responsibilities

• Develop and implement procurement plans aligned with production and farm requirements
• Source, evaluate, and negotiate with suppliers to ensure competitive pricing and quality standards
• Prepare RFQs, comparative analysis sheets, and purchase recommendations
• Ensure compliance with company procurement policy and approval matrix
• Monitor supplier performance and maintain approved vendor list
• Coordinate with production, farm, finance, and quality control departments
• Ensure timely procurement of fertilizers, agrochemicals, packaging materials, spare parts, fuel, and office supplies
• Track purchase orders and ensure timely delivery

Warehouse & Inventory Management

• Oversee receipt, inspection, and storage of materials
• Maintain proper stock control system (FIFO/FEFO where applicable)
• Ensure accurate inventory records and conduct periodic stock counts
• Monitor minimum and maximum stock levels
• Control issuance of materials based on approved requisitions
• Ensure proper storage conditions for green coffee, roasted coffee inputs, and packaging materials
• Prevent stock losses, damage, or pilferage
• Prepare monthly inventory and procurement reports
