Order Processing Officer - Korem Project

Position Purpose

To perform day-to-day order processing activities at the supply office project level, according to MSF protocols and standards, ensuring optimal operational running of the mission/project.

Key Accountabilities

• Perform day-to-day order processing activities, ensuring efficient running of supply office coordination operations following MSF supply procedures and standards
• Manage the supply database and ensure correct filing and archiving of supply documents to guarantee availability and coherence of supply data
• Process all orders and requests, communicating regularly with clients regarding order status including: received, approval stage, confirmation, RTS monitoring, backorder status, and lead times
• Report processing problems to line management
• Provide purchaser/procurement supervisor with sufficient information about orders before quotation collection to ensure correct items are purchased
• Follow up with warehouse team and purchaser to ensure supply lead times are respected
• Perform delegated tasks as specified in job description

Software & System Responsibilities

• Encode validated internal requests in Unifield upon receipt and validate in the system
• Source items from stock and share documentation and delivery location with storekeepers
• Check stock availability before encoding orders to avoid unnecessary non-available open documents in Unifield

Communication & Stakeholder Management

• Receive and process Internal Requests (IRs) from requesters
• Request clarification from requesters/projects when specifications are insufficient to proceed with sourcing
• Support requesters in selecting correct codes and descriptions for Digital IR
• Ensure all required signatures or mail validations are properly collected
