Job description
Provide administrative and organizational support to the Country Manager and HR Department by managing schedules, meetings, communication, and confidential documentation. Ensure smooth coordination across departments, oversee front-desk operations, and support office administration to maintain a professional and efficient work environment. Will report to the HR Manager.
Responsabilities:
Office Administration:
Manage procurement of office supplies, stationery, and operational needs.
Organize lunch and refreshments for employees at the office.
Provide administrative support across departments.
Executive Support:
Schedule and coordinate meetings for the Country Manager.
Prepare accurate and timely meeting minutes.
Manage confidential communication and follow-up on action items
Travel & Hospitality:
Arrange hotel bookings, transportation, and visitor logistics.
Coordinate national and international travel (flights, visas, accommodation) for the Country Manager, Managers and the visitors.
Manage related bills and documentation.
Events & External Coordination:
Plan and execute internal company events and activities.
Represent the company at district-level events and coordinate with local authorities.
Maintain professional communication with external partners and agencies.
Reception & Front Desk:
Welcome visitors and guests in a professional manner.
Answer, screen, and route phone calls courteously.
Ensure front desk operations reflect a positive company image.
Cleanliness & Work Environment:
Supervise cleaning staff to maintain a clean and organized office environment.
HR & General Support:
Support HR with onboarding processes and employee logistics.
Assist in coordinating staff-related activities and internal communication
Key Working Relationships Internal:
Country Manager (direct executive support)
HR Department (onboarding, logistics, visa processes)
Heads of Department (administrative coordination)
Finance Team (payments for supplies, travel, and events)
Employees/Staff (general support)
External:
District Authorities (Representing the company for some district event)
Hotels, travel agencies, and suppliers (logistics and procurement)
Visa & immigration offices (documentation)
Visitors/guests (front-desk assistance)
